Create and Use Review Response Templates

Response templates save time when responding to client feedback. Create full quick responses for common responses or create a signature to streamline adding your contact info to each response.

Create a Response Template

To create a response template:

  1. Click Feedback and select Reviews.
  2. Click a respondable review in the list (Venga, integrated Facebook and Google reviews).
  3. Click Email Customer/Respond On to open the response pop-up.
  4. Click Templates at the top of the window and select + Add/Edit Template.
  5. Click + Add New Template at the top of the Add/Edit window.
  6. Set up the template and click Save.

Click Feedback and select Reviews.

Click on a respondable review in the list (Venga Post Class Surveys, Facebook, or Google).

Click Email Customer below the review text. For Google and Facebook reviews, the button will say Respond on Google or Respond on Facebook.

Click Templates at the top of the window.  Select + Add/Edit Template from the dropdown menu.

Click + Add New Template at the top of the Add/Edit window.

In the edit window, add the Template Name, Email Subject Line, and Template Text and click Save. Use Message Tags to automatically insert client and location information into the email.

Edit an Existing Response Template

To edit an Existing Template:

  1. Click Feedback and select Reviews.
  2. Click a respondable review in the list (Venga, Facebook, or Google).
  3. Click Email Customer/Respond On to open the response pop-up
  4. Click Templates at the top of the window and select + Add/Edit Template.
  5. Click Select Template to Edit and choose the template from the dropdown menu.
  6. Edit the template and click Save.

Click Select Template to Edit and choose the template from the dropdown menu.

Edit the template and click Save at the bottom of the window.

Respond to a Review Using Response Templates

To respond using a saved template:

  1. Click Feedback and select Reviews.
  2. Click a respondable review in the list (Venga, Facebook, or Google).
  3. Click Email Customer/Respond On to open the response pop-up.
  4. Select a template from the Templates menu.
  5. Add any final touches to the message and click Email Client.

Select the template from the Templates menu. The template will fill the response window and subject lines.

Make any final edits and click Email Client. Message Tags used in the response will automatically display client or location information. Note: If the message tag displays in the email window and not the tag details (client's name, location, etc...), the tag is not formatted correctly and needs to be edited in the template.

Response Template Message Tags

Message tags insert information about the guest or restaurant in the response window. Message tags are always enclosed in brackets [ ] and words are separated by an underscore _.

The following Message Tags can be used in response templates:

  • [first_name] - This tag inserts the client’s first name.
  • [last_name] - This tag inserts the client’s last name.
  • [location_name] - This tag inserts the name of the location the client visited.
