Campaign Audience Options Explained

Each Venga campaign type has its own audience configuration options. Click on a campaign type below to read a detailed breakdown of each option and its purpose.

New Client

Filters Bar

  • Location - Limit the audience to specific location(s).

  • Package Type - Limit the audience to clients who currently have specific active packages.
  • Gender - Limit the audience by gender
  • Age - Select and age range for the audience.

Audience Configuration

When should a client receive this campaign?

Both options in this section send to clients a number of days after the event selected. You can configure the number of days to meet your exact needs.

  • After Creating Their Account - Selecting this option will include clients who have a new account in MindBody but have not yet completed a visits.
  • After Completing Their First Class - Selecting this option will include clients who have completed their first visit.

Limit This Campaign to New Clients Without Future Class(es) Booked

  • Exclude Clients Check Box - Checking this box will exclude clients who already have a future class booked, even if they meet the requirements in the previous section.
  • Has not taken their Xth class Check Box - Checking this box will exclude clients who have already completed a specific number of classes at the time the campaign sends.
    Note: This option only applies to completed classes and will not take into account future bookings.

Package

Filters Bar

  • Gender - Limit the audience by gender
  • Age - Select and age range for the audience.

Audience Configuration

Select the types of multi-credit packages for which you would like to send low credit, empty, or package upsell campaigns.

Package campaigns trigger when a package expires or the credit count hits or gets close to 0 credits. Recurring packages and memberships are not eligible in a package campaign since they don't expire or always have credit counts. 

  • All Packages - This option will include all active packages in your MindBody account.
  • Specific Packages - Selecting this option will expose a selection menu which you can use to select specific packages to which the campaign applies. 

When do you want to contact clients about their packages?

Select the right time to contact your clients about their expiring or expired package.

  • After the client purchases the package - This option sends the client a message when they have purchased the package.
  • When the package has expired, or is about to expire - Choose one of the options to remind clients their package is expiring.
    • Credits Remaining - Configure the exact point when the campaign is sent by choosing the credit threshold. When a client's package hits the threshold number, they will receive the campaign. 
    • Days to Expiration - Choose this option to send the campaign based on the expiration date of the package. Segment even further by setting a minimum number of credits that must be remaining in the package for a client to receive the campaign.
    • After the Package Expires - Selecting this option sends the campaign to clients the day after their package expires or hits 0 credits.
    • Send to clients who have taken X classes - Use this optional setting to select an exact number or range of classes clients must complete using the package to be eligible to receive the campaign.

Milestone

  • Gender - Limit the audience by gender.
  • Age - Select and age range for the audience.

Audience Configuration

When should a client receive this campaign?

  • Visit Target - Select the number of visits a client must complete to receive the campaign.
    Tip: If you want to offer encouragement to reach a milestone, set this target at a few classes before the big number.
  • For all time - This option uses your clients' entire history to calculate visits. The first time this campaign sends it will send to anyone in your MindBody database with the target number of visits and will then check daily to see if any clients hit the target on the previous day.
  • Since the Date - Select this option to pick a start date for the visit count. After you select a date, the campaign will check daily for clients who have completed the target number of visits since the selected date, regardless of the client's lifetime total visit count. 
  • Between the Dates - Using this option allows you to set a start date and end date for the visit target. Clients must complete the target number of visits between the specified dates in order to qualify for the campaign. 

Choose classes that count toward meeting this milestone.

  • All Classes - This option includes all classes offered at your studio. 
  • Specific Class Types - Selecting this option will include clients who attended any class within a specific class type, regardless of the time of day the class is offered.
  • Specific Classes - Use this option to target specific classes at specific times of day.

Audience Configuration

How long should it have been since your clients last visited?

  • Use the dropdown menus to select the lapse period (first dropdown) and the maximum days to look back (second dropdown).
  • Use the visit selector to set the minimum number of visits a client must have completed to qualify for the campaign.

Set limits on your campaign to prevent communication fatigue or limit offers.

  • Maximum Email Limit - On the left-hand side of this section you can choose to limit any single client from receiving the campaign more than a set number of times. 
  • Send Period - Use this dropdown to space out your communications.
  • Other We Miss You Checkbox - If you send multiple We Miss You campaigns, checking this box will prevent clients from receiving multiple we miss you emails from you.

  • Qualified Visit Period - The first dropdown in this section determines how far back Venga looks for visits when sending the campaign. 
  • Send Frequency - The second dropdown determines how frequently the survey message is sent to your clients.

Select the survey with the questions you would like to ask in this campaign.

  • Select a survey from the dropdown to be used in the campaign. Only surveys with the Include Overall Experience box unchecked in the Survey Details will appear in the dropdown menu.

  • Send Trigger - Select how many days before the client's birthday the campaign should send. To send the campaign on the client's birthday, choose 0.

Audience Configuration

Set up timing for when to incentivize clients to begin referring new members

  • Visit Based - Use this option to send referral messages to your clients based on the number of visits they have completed at your studio. The checkbox gives you the option to only include clients who have visited in the past 60 days, preventing the campaign from sending to clients who meet the requirements but have not visited recently.
  • Spend Based - Use this option to send referral messages based on the dollar amount they have spent on services at your studio. 

Add a reward to the new client's account (optional)

You can offer rewards to the newly referred client to incentivize them to try out your studio for the first time.

  • Class Credit - Choose one of your active packages as your offer
    Tip: Create a referral offer package to make sure you're giving new clients the perfect offer.
  • In Studio Reward - Use this option to offer something tangible like a water bottle or other studio gear.

Add a reward to the referring client's account (optional)

You can also offer rewards to your existing clients to incentivize them to refer their friends.

  • Referred Client Count - Set the minimum number of new clients who must be referred by a single client to earn their reward.
  • New Client Visit Count - Use this option to require that the new client complete a minimum number of visits before the client earns their reward.
  • New Client Purchase Amount - Use this option to require that the new client spend a minimum amount in order for the client to earn their reward.
  • Class Credit - Choose one of your active packages as your offer
    Tip: Create a referral offer package to make sure you're giving new clients the perfect offer.
  • In Studio Reward - Use this option to offer something tangible like a water bottle or other studio gear.

Optionally, set limits on your campaign to prevent communication fatigue

To prevent clients from receiving the same campaign over and over again, you can set a limit on how often they receive the campaign. If a client qualifies but has already received the campaign within your limit, they will be skipped over until the limit has passed.

Class Type

  • All Classes - Clients who attend all classes listed in MindBody will qualify.
  • Specific Class Types - Clients who attend specific class types will qualify, regardless of class time.
  • Specific Classes - Only clients who attend specific classes at specific times will qualify.

Client Qualifications

  • First Time Clients to Class Type - Clients who have never attended the class type will receive this campaign before their first visit to any qualified class. If the Class Type is set to All Classes, clients will receive a reminder each time they attend a new class type. 
  • First Time Clients to Studio - Clients who have not yet visited a specific location will receive this campaign. Clients who have visited one site location will receive the campaign on their first visit to other site locations. 
  • All Clients Before Every Class - Clients scheduled to attend will receive the campaign before every class, regardless of visit history.

Send Time

  • Choose how far in advance to send the class reminder to clients currently signed up for the class.

Invite clients to confirm or cancel their attendance, or provide notes for their instructor

The following settings are optional.

  • Confirm Attendance - Check this box to prompt clients to confirm they still plan on attending. Client responses will update the class visitor count in MindBody.
  • Client Notes - Prompt clients to provide notes for their instructor. Responses received before the Pre-class report send time are included in the pre-class report.
  • Late Cancellation - Check this box to automatically mark clients who cancel within the time frame you choose as late cancel in MindBody.

Last Minute Openings

Audience Configuration

Which classes need to have open spots filled?

Class Type

  • All Classes - Clients who attend all classes listed in MindBody will qualify.
  • Specific Class Types - Clients who attend specific class types will qualify, regardless of class time.
  • Specific Classes - Only clients who attend specific classes at specific times will qualify.

Booking Percentage

  • Classes that fall below the set booking percentage will trigger the send of a last minute opening campaign. Booking percentages are calculated at the campaign send time (see below) and are calculated by dividing the number of clients signed up by the total number of available spaces in MindBody. 

Send Time

  • Choose how far in advance to send the Last Minute Opening to qualified clients.

Target clients that are likely to take this class

  • Clients that have taken this class within the past 60 days anytime - Choose this option to send to clients who have attended the class on any day and time in the past 60 days.
  • Clients that have taken this class within the past 60 days on this day and time - Choose this option to send only to clients who have taken the class in the past 60 days, on the specific day and time that the last minute opening is being sent for. 
  • Clients not booked for any future classes (Optional) - Check this box and select the maximum number of days to limit clients who receive the campaign. Any clients who are currently booked for a qualified class will not receive the campaign if the class falls within the set number of days (inclusive).
  • Clients who have not visited (Optional) -  Check this box and select the maximum number of days to look back, to exclude any clients who have had a visit to any class at any site location within the previous set number of days (inclusive).

Class Alert

Audience Configuration

Location and Classes

  • Location - Select all locations for which you would like to send the class alert.
  • Classes - Once you select a date, a menu of classes will appear. Select all classes for which you would like to send the alert.

Would you like to cancel all bookings and remove the selected class(es) from the schedule?

This setting is optional

  • Check this box to automatically cancel all bookings and remove the class from your MindBody schedule.

Upload any clients and/or non-clients who should also receive this campaign.

Class Type

  • All Classes - Clients who attend all classes listed in MindBody will qualify.

Client Qualifications

  • First Time Clients to Studio - Clients who have not yet visited a specific location will receive this campaign. Clients who have visited one site location will receive the campaign on their first visit to other site locations. 
  • All Clients Every X Classes - Clients will receive the campaign every multiple of the number entered. Ex: If the number is set to 5, clients will receive the campaign on their 5th, 10th, 15th, etc... visit to a qualified class.
  • First Time Clients to Class Type - Clients who have never attended the class type will receive this campaign before their first visit to any qualified class. If the Class Type is set to All Classes, clients will receive a reminder each time they attend a new class type. 
  • First Time Clients to Instructor - Clients will receive the campaign each time their visit is the first time taking a class from the instructor listed for the class in MindBody.
